A Licence Management Portal That Stopped Radiology Software Expiring Silently

GTR Medsoft supplies eRAD radiology software, the RIS and PACS systems that hospitals and imaging centres use to manage and read scans.

Aipxperts built their licence management portal in roughly eight months. It is a small system with a specific job: make sure the company always knows which of its customer licences are live, which are lapsing, and which are running unpaid.

The problem

Software licensing sounds like an administrative detail until you look at what silence costs. Before this system, licences would quietly expire, or keep running unpaid and unrevoked, and nobody found out until something else surfaced the problem. That leaks money in both directions at once:

A licence still running after payment stopped is revenue being given away, and nobody notices because the software keeps working.

A licence that expires without warning is a customer whose radiology system stops when they need it, which in a clinical setting is a serious failure, not an inconvenience.

Renewals were reactive rather than scheduled, so the commercial relationship depended on someone remembering.

With more than five hundred licences across eighteen or more client organisations, and only two administrators, remembering is not a strategy.

What we built

This build is deliberately unglamorous. The whole value is in removing a category of problem that only exists because a human has to track something a computer should.

Licence register

A single record of every licence issued, which client it belongs to and when it expires, built over the previous system's data rather than starting from an empty database.

Automatic expiry notifications

Email and on-screen alerts raised ahead of expiry, so renewals happen on schedule rather than after a failure.

Revoke and renew actions

Administrators act directly on a flagged licence, closing the loop between knowing and doing.

Client organisation structure

Licences grouped by client organisation, so the commercial picture per customer is visible rather than reconstructed.

The outcome

Scale reported by the client: Those numbers are modest and that is the point. Two people managing five hundred licences across eighteen organisations is only possible because the system raises the exceptions instead of waiting to be asked.

Before
licences silently expired, or kept running unpaid and unrevoked, with no visibility. That caused cost leakage and delayed renewals.
After
automatic expiry notifications by email and on screen let the team revoke or renew on time, improving both cost control and renewal consistency.
