A Custom Booking and Payment Platform for a Five-Studio UK Scan Group

Nearly every payment across these five UK scan studios was still settled by phone or in person, because the previous system could not process online payments reliably. Customers now book and pay on the site.

The build

Meet Your Miracle runs private prenatal ultrasound studios across five UK locations, offering elective wellbeing scans, gender determination and 3D, 4D and HD imaging packages.

The booking experience was the bottleneck. Aipxperts replaced it with a custom platform built in Next.js and NestJS over roughly eight months, and the change that mattered most was the simplest one: customers can now pay online.

The problem

Nearly all payments were being collected offline. The previous system had grown complex enough that reliable online payment processing had stopped being achievable within it, so bookings made on the website still had to be settled by phone or in person on the day. For a business selling priced scan packages between roughly seventy and two hundred and twenty pounds, that creates three problems at once:

Revenue that a customer was ready to commit at eleven at night had to wait for someone to answer a phone during business hours.

Studio staff spent time on payment admin that should have been spent on clinical work.

Every unpaid booking is a booking that can quietly evaporate before the appointment date.

Five separate studios made it harder again. Scheduling had to hold availability per location, per scan type and per package, with none of the five able to double-book the others.

What we built

The decision we took early was to rebuild rather than repair. The existing system's complexity was the reason payments could not be made reliable, so adding a payment layer on top of it would have inherited that same fragility.

Online booking with payment at the point of commitment

A customer picks a studio, a scan package and a slot, and pays there. This is the single change the whole project turned on.

Multi-location availability

Scheduling that holds separate calendars for each of the five studios, so availability shown to a customer reflects that specific location rather than a shared pool.

Package and pricing structure

Support for the full range the business actually sells, including twin variants, midweek pricing and multi-scan bundles, so the site can present the real commercial offer rather than a simplified version of it.

A booking record staff can work from

Appointments, payment status and customer details in one place, replacing the split between what the website knew and what the studio knew.

The outcome

The second number is the one worth sitting with. Those are transactions that previously either happened over the phone during office hours, or did not happen at all.

Before
nearly all payments were collected offline, because the previous system could not reliably process online payments.
After
customers book and pay directly on the website. The client estimates the platform drives a 40 to 50 percent revenue increase from online orders that previously did not exist, and reports roughly 100 transactions a day now running through the site.

If bookings are coming in but money is still being collected by hand, that gap is fixable.
