The build

Force is an end-to-end field force management platform for trade marketing operations, built by Aipxperts over roughly three years.

It has three parts: a React admin dashboard for operations teams, a Node.js REST API, and mobile APIs that let field promoters capture outlet visits, consumer interactions, stock levels and campaign data on the ground. It ran campaigns across Malaysia, including Selangor, Penang and Kedah.

The problem

Trade marketing lives or dies on whether the visit actually happened. A brand pays for promoters to be in specific outlets, talking to specific consumers, checking specific stock. If that activity cannot be verified, the spend cannot be evaluated. Before the platform, the operation ran on:

Manual spreadsheets for visit logs, consumer contacts and stock counts.

Paper or ad-hoc forms for outlet visits and trade requests.

Email and WhatsApp for photo submissions and trade material requests.

Delayed manual CSV consolidation whenever quarterly reporting came round.

Three consequences followed. Data was fragmented across formats and people. Consolidation took days or weeks, so reporting always described a quarter that had already ended. And there was no GPS-verified proof that a promoter stood in the outlet they logged, which is the specific claim the client is paying for.

What we built

We built the platform so the record is created where the work happens, with location attached, and everything downstream derives from it.

Campaign and project management

Campaigns with outlet assignment, so a promoter's route reflects the brief.

Outlet master data

Bulk import with client account codes, opening hours and geolocation, which is the reference the GPS check-in validates against.

GPS check-in and check-out

Device-verified arrival and departure with reverse geocoding, producing measured visit duration.

Consumer interaction capture

Demographics, effective contacts and verification status recorded at the point of conversation.

Stock and order updates

Brand, product and variant-level stock recorded at outlet level.

Trade request submission

Photo uploads from the field, replacing the email and WhatsApp channel entirely.

Configurable questionnaires

Campaign-specific questions without a code change.

Visit history with filters

Check-in and check-out times and duration, filterable by outlet, region and campaign.

Automated CSV and Excel exports

Quarterly report generation covering outlet, visit time, brand, stock and effective contacts.

Roles and regions

User, role and region management, giving supervisors regional visibility and admins full control.

PDPA compliance settings

Malaysian data protection configuration built into system settings, which matters when the records are consumer demographics.

The outcome

The word doing the work there is auditable. The platform did more than speed up reporting. It changed what the reporting can be trusted to prove.

Before
field visit and consumer data lived in scattered spreadsheets and manual exports. Reports took days or weeks to compile and carried no GPS-verified proof that a visit happened.
After
field teams capture data in real time from the mobile app, admins get filterable dashboards, and quarterly CSV exports covering outlet, visit time, brand, stock and effective contacts generate automatically. Fragmented field activity became auditable, campaign-ready reporting.
